What Is Microsoft Word Used For?

‘MS Word’ is a popular word-processing program used primarily for creating documents such as letters, brochures, learning activities, test quizzes and students, ‘ Homework’ assignments. there are many simple but useful features available in Microsoft word to make it easier for study and work. look at the picture below to learn about MS Word.

Editing A Document

Making changes in a document is called Editing. to perform editing, you should select the text first.

The Ribbon

The ribbon contains two parts: tabs and groups. each tab contain commands arranged in different groups. home tab is generally used for editing and formatting text.

Selecting Text

You can select a part of text or the whole text according to you need. you can use both mouse and keyboard to select the text.

  • The blue colored title bar at the top of the screen tells you the name of the document. until you save the document and give it a name, MS word names it ” document”.
  • The buttons on the title bar control opening and closing the word application itself.
    It minimizes the word application and is helpful in switching between apps.

It changes the size of the word application. when the application is smaller, the button will look like this: (MS Word)

  • The menu bar contain every option available in MS word.
  • The button bar offers you the most popular menu choices. if you want anything beyond the basics, you will have to use the menu bar. if you have your cursor over a button, MS word will display text to tell you what the button is used for. to use a button, simply click on it.
  • The formatting bar display the most common choices for formatting text.
  • The ruler shows margins and tab stops.
  • This is the body of the document. the blinking vertical line is called the insertion point (or cursor) and shows where text will start when you begin to types.
  • These button are called “thumb bars”. they change your orientation on the page.
  • These buttons show you what “view” you are currently in. the first ( from left to right) is normal view, the second is outline layout view, the third is layout view and the last is outline view. you will always be put in ‘layout view’ when you are working with graphics in your document.
  • This is the drawing tools bar. you can use this bar to insert shapes, lines, and Word-art into your document. any traditional toolbar you have asked MS word to display will be shown here.
  • Below the view buttons, it is a line that shows you where you are: the page, section and column of your current document.
  • The bottom most bar ‘ the taskbar’ shows you any of applications that is open. and also the connectivity of network and working OS sound.

Using Mouse:

To select a sentence or paragraph, place the mouse pointer before the first letter and drag the mouse by holding down the left mouse button over the required text.

Using Keyboard

Place the cursor before the first letter of the sentence or word. hold down shift key and press the right arow key till the desired portion of text is selected.

Copying And Moving Text

Sometimes, you are required to write a word or sentence many times. in MS word, you can use the same sentence any numbers of times very easily without typing it again and again. you can even shift the words or sentence from one place to another.
You can use the clipboard group in the home tab for copying or moving text from one location to another.

Copying Text

Copying means nothing but to copy text, word or sentence. this is done by the copy and past commands.
To copy and paste the text, follow the given steps:

Step-1: Select the text you want to copy.
Step-2: Click the home tab.
Step-3: Click ‘copy’ from the clipboard group.
Step-4: Move the cursor to place where you want to paste your text.
Step-5: Click paste from the clipboard group.

Moving Text

Moving means to shift the text from one place to another. moving is done by cut and paste commands.
To cut and past the text, follow the given steps:

Step-1: Select the text you want to move.
Step-2: Click the home tab.
Step-3: Click ‘cut’ from clipboard group.
Step-4: Move the cursor to the place where you want to paste your text.
Step-5: Click ‘paste’ from clipboard group.

To Select A Single Word, Double-Click The Word.

Keyboard Shortcuts

  • Press Ctrl+A to select all the text.
  • Press Ctrl +C to copy text.
    Press Ctrl +V to past text.
    Press Ctrl +X to cut text.
    Press Alt +Z to undo the previous action.
